Where we rely on legitimate interests, we consider whether our use is necessary and whether your rights and interests outweigh ours, with particular care for students under 18.
If you do not provide information needed for enrolment, assessment or certification, we may be unable to provide the relevant part of your course. We will explain this when requesting the information.
4. Health and accessibility information
Health and disability information receives additional protection under data protection law.
Where we ask you to provide this information to arrange support, reasonable adjustments or safe participation, we will explain what is needed and request your explicit consent to use it for the stated purpose.
We limit access to people who need the information to arrange or deliver that support. Where information needs to be shared with Focus Awards for an adjustment application, we will explain this to you.
You may withdraw your consent by emailing us. We will explain any effect on the particular support arrangement and discuss alternatives with you.
We will not use health or accessibility information for advertising.
5. Where student records are held and who can access them
Our student enrolment and course records are held on the Focus Awards enrolment system. We do not maintain a separate student records database outside that system.
This does not mean all information is held only by Focus Awards: website providers, payment providers and communication services process information relevant to their services.
Access to student records is limited to authorised people who need it for course administration, teaching, assessment, quality assurance or certification.
We share relevant information with:
Some organisations use information independently for their own responsibilities. Focus Awards explains its handling of information in its Privacy Policy.
6. Payments
Payments are processed through Stripe or Klarna, depending on the payment method selected.
You provide payment details through the provider’s payment service. We do not collect or store full card numbers or card security codes.
We may receive information needed to confirm and administer your payment, including your name, transaction reference, amount paid, payment status and refund details.
Payment providers also process information for their own purposes, such as fraud prevention and compliance with financial requirements. Their privacy information is available through their websites and payment services, including Stripe’s Privacy Policy and Klarna’s website.
7. Marketing, photographs and testimonials
We send promotional emails or text messages only where you have given permission.
We request separate permission before using your photograph, video or testimonial for marketing. Submitting a practical assessment video does not give us permission to publish it.
You can withdraw marketing permission at any time by using an unsubscribe option where provided or emailing admin@corefitnessprofessionals.co.uk.
Withdrawal does not affect the lawfulness of use before you withdrew permission. We will stop future use and remove material from channels we control where reasonably possible, although we cannot recall printed material already distributed or copies independently shared by others.
Declining marketing permission does not affect your course. We may still send necessary administrative messages about your enrolment, assessments, payments or certification.
8. Cookies, Google Analytics and Meta Pixel
Our website uses cookies and similar technologies.
Essential technologies support functions such as security and the operation of the website.
With your permission, we use:
These tools can collect information such as online identifiers, device details, pages visited and actions taken on the website. Meta may associate website activity with information it holds about you.
Optional analytics and advertising technologies should remain disabled unless you consent. You can refuse them or change your choice through the website’s cookie controls.
Further information about the specific cookies and their duration is provided through those controls. Refusing optional cookies does not prevent you from enquiring about or enrolling on a course.
9. International processing
Some technology and payment providers operate internationally, so information may be processed outside the United Kingdom.
Where we make a restricted international transfer, we must ensure an appropriate legal safeguard is in place. Depending on the provider and destination, this may be UK adequacy regulations or approved contractual safeguards.
Providers’ privacy notices explain their international processing arrangements. You can also contact us for details of safeguards relevant to information we transfer and how to obtain a copy.
10. How long we keep information
We keep information for the purpose for which it was collected and for any necessary legal, qualification or dispute-handling requirements.
Different records have different retention needs:
Where information is no longer needed, we delete it or anonymise it. Focus Awards and other independent organisations may retain their own records under their respective policies.
11. Students aged 16 and 17
Our courses accept students aged 16 and over.
We take particular care when handling younger students’ information and aim to explain its use clearly.
Being under 18 does not automatically give a parent or guardian access to your records. Any disclosure must have an appropriate lawful basis, taking account of your rights and any safeguarding responsibilities.
12. Keeping information secure
We use appropriate organisational and technical measures to protect personal information, including restricting access to authorised users and using the access controls available through our service providers.
Please keep your account details secure and tell us promptly if you believe your account or information has been accessed without permission.
13. Your rights
Depending on the circumstances, you may have the right to:
You can object to the use of your information for direct marketing at any time.
These rights are subject to legal conditions. For example, we may need to retain some records to meet an applicable requirement even if you request deletion.
Contact admin@corefitnessprofessionals.co.uk to exercise your rights. We normally respond within one month, subject to any lawful extension or other applicable timing rules. We may need proportionate information to verify your identity.
14. Complaints
If you have concerns about how we handle your information, please contact us at admin@corefitnessprofessionals.co.uk.
You can also complain to the Information Commissioner’s Office through its complaints service. You do not have to complain to us first.
15. Changes to this policy
We will update this policy when our services or information-handling practices change. The date at the top identifies the latest version.
Where a change materially affects how we use your information, we will bring it to your attention as appropriate and seek fresh consent where required.
